We’re currently looking for an ambitious Travel & Events Coordinator based in Riyadh to join our multinational client from the pharmaceuticals field.

Travel & Events Coordinator – Responsibilities:
- Handle travel requests of all the Management Team.
- Organize and coordinate logistics for business travel.
- Financial Administration:
- Preparing Purchase Orders (POs) related to Management Team activities.
- Reviewing invoices and Issue payment requests for approved expenditures
- Vendor addition for HCP’s
- Track and report payment statuses of vendors.
- Process credit facility requests.
- Coordinate logistics for (Internal Meetings: Management Team meetings).
- Cost sheet preparation: hotel venue – meeting rooms/room accommodation, activities, ticket comparison, transportation, meals.
- Securing all the necessary approvals.
- Arrangement of hotel, meeting rooms, flight tickets, transportation, activities, and meals.
- Staff ticket modification.
- Consolidate presentation.
- Agendas preparation.
- Coordinate logistics for Regional and International Congresses
- Cost sheet preparation
- Delegates registration, arrangement of visa, hotel, flight tickets meals, and transportation. HCPs and staff ticket modification
- Coordinate logistics for National events/congresses
- Preparing cost sheet: hotel venue – meeting rooms/room accommodation, ticket comparison, transportation, meals)
- Booking hotel, meeting rooms, flight tickets and meals
- Prepare Travel Expenses Reports of the Management Team.
- Consolidate Travel Expenses Reports of the organization.
- Generate and consolidate quarterly Sustainability Reports for the organization.
- Handle accruals and consolidate full accruals of the organization.
Travel & Events Coordinator – Requirements:
- Bachelor’s degree required.
- Preferred experience from a similar (multinational healthcare) industry.
- Excellent computer skills; proficient or advanced skills in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) and experience with data management.
- Excellent oral and written communication skills.
- Strong interpersonal skills.
- Execute and exhibit good judgment. High level of professionalism.
- Superb organizational and time-management skills.
- A demonstrated ability to plan effectively, but the flexibility to handle the unexpected.
- Performs other duties and takes responsibilities as assigned.
- Fluent English.
